Corporate & Back-office staff

Responsibilities

  • Provide administrative support to various departments within the organization, including HR, Finance, Legal, and Operations

  • Manage office logistics and facilities, including inventory management, equipment maintenance, and vendor relationships

  • Assist in scheduling meetings, coordinating travel arrangements, and preparing expense reports for team members

  • Handle incoming inquiries and correspondence, directing them to the appropriate person or department as needed

  • Maintain and organize electronic and physical filing systems, ensuring accuracy and confidentiality of documents

  • Assist in the recruitment process by posting job openings, scheduling interviews, and coordinating candidate communications

  • Support HR functions such as employee onboarding, offboarding, and benefits administration

  • Assist with financial tasks including invoicing, expense tracking, and reconciliation

  • Collaborate with cross-functional teams on special projects and initiatives as assigned

  • Uphold company policies and procedures, ensuring compliance with legal and regulatory requirements

Required Skills

  • Use English and Japanese at the business level

  • High school diploma or equivalent

  • 1-2 years of administrative or office support experience

  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook)

  • Strong organizational and multitasking skills with attention to detail

  • Excellent written and verbal communication skills

  • Ability to prioritize tasks and manage time effectively in a fast-paced environment

  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion

Preferred skills and experience (Nice to have)

  • Associate's degree or higher in business administration or related field

  • Previous experience in a corporate or back-office environment

  • Familiarity with HRIS (Human Resources Information System) software

  • Basic understanding of accounting principles and financial processes

  • Experience with document management systems and/or database software

  • Customer service experience or a customer-centric mindset

  • Ability to adapt to changing priorities and work independently with minimal supervision

  • Communication tools: Slack, Google Meet, Zoom, Discord, Linkedin

  1. Final Interview (30 min - 1 h)
  • Engage in a final interview to discuss your fit for the role, team dynamics, and company culture

  • Address any remaining questions or concerns from both parties

  1. Reference Check and Background Verification
  • Provide references from previous employers or colleagues who can speak to your qualifications and performance

  • Undergo background verification checks as required by company policy

  1. Offer and Onboarding
  • Receive and review the job offer, including salary, benefits, and other details

  • Complete any necessary paperwork and undergo orientation and training as needed

  • Begin your role as Corporate & Back-Office Staff with support and guidance from the team

Work Conditions

Full-time (after 3-month trial period)

5,000,000 JPY / year or more
