Chief of Staff

Responsibilities

  • Serve as a key advisor and strategic partner to the CEO, providing support in decision-making, communication, and execution of company initiatives

  • Act as a liaison between the CEO and various internal departments, ensuring alignment of goals and effective communication channels

  • Drive special projects and initiatives on behalf of the CEO, overseeing planning, execution, and follow-up activities

  • Analyze organizational performance metrics and provide insights and recommendations to the CEO and leadership team for continuous improvement

  • Lead and manage cross-functional teams and initiatives as assigned by the CEO, fostering collaboration and accountability

  • Serve as a representative of the CEO in interactions with external stakeholders, including clients, partners, investors, and the media

  • Handle sensitive and confidential information with discretion and professionalism

Required Skills

  • Use English at the business level

  • Bachelor's degree in business administration, management, or related field

  • Proven experience in a strategic advisory or project management role, preferably in a fast-paced environment

  • Exceptional organizational and multitasking skills with a strong attention to detail

  • Excellent communication and interpersonal skills, with the ability to influence and collaborate at all levels of the organization

  • Strong problem-solving abilities and analytical thinking, with a track record of driving results

  • Ability to maintain composure and make informed decisions under pressure

  • Proficiency in productivity tools such as Microsoft Office suite, Google Workspace, and project management software

Preferred skills and experience (Nice to have)

  • Use Japanese at the business level

  • Master's degree in business administration, management, or related field

  • Experience working in a leadership capacity or closely with C-level executives

  • Knowledge of industry best practices and trends in business strategy, operations, and organizational development

  • Familiarity with financial analysis and budgeting processes

  • Previous experience in roles requiring discretion and handling confidential information

  • Experience leading or participating in cross-functional teams and initiatives

  • Complete a case study or problem-solving exercise to demonstrate your strategic thinking and decision-making abilities

  • Present your findings and recommendations to the hiring team

  1. Initial Interview (30 min - 1 h)
  • Discuss your background, skills, and experiences related to the Chief of Staff role

  • Assess your understanding of organizational dynamics and ability to work closely with senior leadership

  1. Panel Interview (1-2 hours)
  • Engage in a panel interview with key stakeholders, including the CEO and other members of the leadership team

  • Discuss your fit for the role, leadership style, and approach to driving organizational success

  1. Reference Check and Background Verification
  • Provide references from previous employers or colleagues who can speak to your qualifications and performance

  • Undergo background verification checks as required by company policy

  1. Offer and Onboarding
  • Receive and review the job offer, including salary, benefits, and other details

  • Complete any necessary paperwork and undergo orientation and training as needed

  • Begin your role with support and guidance from the CEO and leadership team

Full-time (after 3-month trial period)
Outsourcing contracts are acceptable (for freelancers)

Operate remotely or from the office

Location

Flexible (Remote or Tokyo Office-based). Ability to travel occasionally for meetings and events as needed.

Salary

8,000,000 JPY / year or more

Work Hours

9:00 - 18:00 (including 1 hour break) Five-day work week
